The short answer

Price your actual route, not an advertised daily average. Hotel changes, private transfers and paid activities can change the total more than small daily purchases.

Start with a transparent example

The figures below are invented planning inputs in US dollars for two people, ten days and nine nights. They are not researched market averages, current supplier quotes or a promise that these prices are available.

Item Example calculation USD
One shared room 9 nights × $50 450
Meals and daily spending 2 people × 10 days × $20 400
All transport Trip allowance 250
Activities Trip allowance 200
Connectivity and other items Trip allowance 20
Subtotal 1,320
Reserve 15% of subtotal 198
Illustrative total Excludes flights, insurance and visa charges 1,518

Adjust the worksheet to your quotes

Replace every example amount with your own figures. Use one currency throughout. The result stays in this browser and is not sent to us.

Example inputs only. Replace these with your quotes in USD. Flights, insurance and visa charges are excluded unless you add them to other costs.

Illustrative total, including reserveUS$1,518.00

Subtotal US$1,320.00 + reserve US$198.00 · US$759.00 per traveller

Check what each price includes

For accommodation, compare the final total with taxes, meals and room occupancy included. For a driver, clarify tolls, waiting, luggage, stops and whether the quote covers the entire group. Record whether a deposit is refundable and when the balance is due.

List paid attractions individually. A route with several ticketed visits may need a different allowance from a stay based around walks, food and time at the beach. Do not use this example to infer admission prices.

Add the costs outside the worksheet

Budget separately for international flights, insurance, any visa charges and major optional purchases. Read ETA fees for the applicable government category. Allow for card or exchange costs using the terms supplied by your bank.

Compare transport choices, accommodation bases and mobile plans. Update the budget when the route changes, rather than adding costs to an old total.
